Accounting Assistant -- TEMP

What You'll Be Doing

  • Review and enter vendor invoices into the accounting software obtaining all relevant approvals and coding correctly to general ledger accounts

  • Manage the preparation of all payments to vendors

  • Investigate and resolve any discrepancies regarding invoices and vendor statements

  • Monitor invoice and contracts' due dates and pay within the terms thereof

  • Monitor AP mail box and respond to all vendor queries in a timely fashion
  • Review expense reports and make sure employees adhere to firm policies and procedures, and maintain tracking schedules to monitor various expense budgets
  • Reconcile credit card statements monthly, including review of receipts, coding expenses with general ledger accounts

  • Prepare annual vendor Forms 1099 and manage the Forms 1099 process

  • General clerical duties, tasks, and special projects as required or assigned by Supervisor
  • Assist in monthly closing
  • Account reconciliation

What You Should Already Have:

  • Bachelor’s degree or equivalent
  • 5-8+ years generalist HR experience
  • Experience in an early stage, fast growing start-up HR team

  • Demonstrated experience owning and implementing people programs across multiple HR disciplines. Additionally, have owned at least one HRIS system implementation.

This is a great opportunity for someone to help scale Instacart's payroll process from the ground up so we can focus on changing the face of grocery delivery. Expect to work closely with the whole Instacart team, from engineering to sales.

What You Will Be Doing 

  • Process payroll for employees in multiple states for a company that is growing fast
  • Prepare us for international expansion from a payroll perspective
  • Prepare monthly payroll journal entries and payroll-related accruals as well as payroll account reconciliations
  • Act as system administrator for ADP Workforce -- coordinate system upgrades and changes with ADP Tech Support to implement earning, benefit, deduction, tax jurisdiction, and custom report changes; perform testing as required
  • Maintain validation tables and GL mapping
  • Understand specific state statutory regulations as well as local tax requirements to ensure compliance
  • Partner with HR to ensure payroll data flows seamlessly between HR and Payroll/Accounting
  • Work closely with HR to refine and develop the on-boarding process
  • Lead the charge in implementing a timekeeping system

What You Should Already Have

  • 5+ years experience in multi-state and International Payroll processing -- rapid growth tech startup and/or e-commerce experience are a huge plus
  • Comprehension of payroll-related deductions (commuter benefits, FSA , 401k contributions, stock transactions, etc.) and different payroll models, e.g. part time
  • Entrepreneurial and comfortable working in a fast-paced environment with minimal guidance
  • Excellent communication skills
  • Bachelor’s degree in Accounting
  • Strong understanding of GAAP
  • Experience implementing a new ERP/Payroll/Timekeeping system
